Selected candidates will be expected to report for duty approximately two to three months after receiving an offer of employment at the latest.
This selection exercise may be used to generate a reserve list of suitable candidates that may be used to address Organization's similar staffing needs in the future.
SUMMARY OF THE ASSIGNED DUTIES, INCLUDING GOALS AND OBJECTIVES OF THE POST
The Executive Directorate Resource Management (EDRM) covers Finance and Corporate Services (FCS), and Human Resources. Under the overall supervision of the Assistant Director for Procurement, Missions and Events and Contracts Management (PCTM), the Travel and Missions Specialist is responsible for managing all aspects of travel and missions for the Organization.
This includes processing travel arrangements, handling subsistence/per diem allowances, verifying invoices, maintaining mission-critical databases (e.g., Notilus, etc.), and providing periodic reports on missions and their associated costs using data provided by the Organization’s Travel Management Company. Additionally, the specialist will offer advice and functional assistance on all travel and ticketing aspects, ensuring compliance with the Organization's Missions and Travel Policy.
PRINCIPAL DUTIES AND ACTIVITIES
DUTY 1: Travel and Mission Arrangements
- Process and independently manage all travel and mission arrangements.
- Check incoming mission requests, assign them relevant mission numbers/, and oversee their processing.
- Calculate and forward payment orders for per diem and other allowances.
- Ensure data management and reporting:
- Update tools and data, including international scales, and relevant staff information.
- Analyze data related to missions and prepare monthly activity reports.
DUTY 2: Service Provider Liaison and Invoice Management
- Act as an intermediary between clients and service providers (travel agency, visa providers, etc.).
- Verify and process invoices, ensuring compliance with budget codes and mission numbers.
DUTY 3: Client Support and Training
- Provide advice, support, and training to clients and their assistants on travel policies and tools.
- Advise and respond to client inquiries.
- Inform clients about visa requirements and facilitate the visa application process.
DUTY 4: Policy and Service Development
- Suggest improvements to the Missions and Travel Policy.
- Assist in the testing and implementation of new systems and procedures.
- Assist in various capacities within the Missions and Travel Branch.
- Contribute to modernization of tools and processes
- Perform additional duties as required by the hierarchy.
QUALIFICATIONS, COMPETENCIES AND SKILLS
Education and qualification required:
- At least 2 years’ University education diploma in Travel and Tourism, Business Administration, Finance or related completed education.
Experience required:
- Minimum of 3 years’ experience in business travel, travel agency, or similar area.
- Experience in an international environment is preferable, as is familiarity with travel and mission digital tools such as online booking tools and travel & expense automated platforms.
languages:
- Professional fluency in English is required.
- An intermediate level of proficiency in French is required.
- Proficiency in a third official language of the Organization (Arabic or Spanish) would be considered an asset.
Abilities required:
- Proficiency in Microsoft Office (Outlook, Excel, Word) and Internet.
- Ability to draft and deliver presentations on travel and mission matters.
- Strong organizational skills, attention to detail, and ability to handle heavy workloads.
- Excellent communication, teamwork, and diplomatic skills.
- Flexibility, service-mindedness, and a strong sense of initiative.
