SUMMARY OF THE ASSIGNED DUTIES

Under the authority of the General Services Manager, you will be responsible for leading and ensuring the quality of the support functions related to general services, including logistics and mail and freight by providing leadership, coordination and personnel support.

The position is suitable for a structured and results oriented manager who is focused on customer service with excellent organizational skills and a strong affinity to support functions.

A first successful experience in team management and/or in general services is a requirement for this role.

 

PRINCIPAL DUTIES AND ACTIVITIES

DUTY 1: General Services Logistics and Mail and Freight Team Management

Lead, motivate, and bring together a team

Develop team members' skills and foster a collaborative environment

Implement a management approach that is close to the team, based on recognition and active listening

Centralize and prioritize requests

Plan and organize the team's activities

 

DUTY 2: Contract and Service Provider Management at Headquarters

Ensure the management and oversight of service contracts (landscaping, cleaning, catering).

Be responsible for the quality of services provided by contractors

Participate in tendering processes

Monitor customer satisfaction to guarantee that contracts are meeting their intended goals and objectives.

 

DUTY 3: Administration of Workspaces

Ensure the monitoring of personnel movements (arrivals, departures, transfers) on the Lyon sites to follow-up the occupancy rate of the premises (staff assignment table and AUTOCAD plans to be updated regularly).

Organize internal moves and assess the need to call in an external service provider. Centralize all information and coordinate the service with the IT department.

 

DUTY 4: Management of On-Site Events

Based on the needs defined by internal clients, organize, with the client, all the requested services (VIP meals, cocktails, buffets, barbecues, with some events accommodating up to 500 people). In partnership with the catering company, make recommendations and assist with choices. Ensure that all necessary equipment for the event is available and anticipate the rental of additional equipment if necessary, as well as the reservation of services from external providers.

For each major event, establish a schedule for the team to ensure the smooth running of operations and the success of the event.

Perform any other duties as required by the hierarchy.

 

QUALIFICATIONS, COMPETENCIES AND SKILLS

 

Education and qualification required:

  • Three to four years of completed University degree in a related domain to logistics, events, mail and freight administration.

 

Experience required:

  • A minimum of three  years of experience in this field of activity

 

Languages:

  • Fluency in French is required;
  • Fluency in English is required, particularly technical English in the logistics, events, mail and freight areas
  • Knowledge of a third official language of the Organization (Arabic or Spanish) would be conisdered an additional asset.
