SUMMARY OF THE ASSIGNED DUTIES,
INCLUDING GOALS AND OBJECTIVES OF THE POST/RÉSUMÉ DES MISSIONS, Y COMPRIS DES BUTS ET OBJECTIFS DU POSTE
Within the Executive Directorate for Resource Management/Protocol, Conference and Language Services Sub-Directorate (EDRM/PCB) and under the supervision of the Assistant Director PCB, the post holder is responsible for conducting and assisting with designated protocol and conference related duties at the INTERPOL General Secretariat to ensure smooth and efficient operations and follow-up in line with established standards, policies and procedures.
PRINCIPAL DUTIES AND ACTIVITIES/PRINCIPALES MISSIONS ET ACTIVITÉS
DUTY 1/Mission 1
Assist the Conference and Meeting Administrator with:
- Responding to calendar event related requests and assisting requesting units including meeting room bookings, all due follow-up in Octopus and assignment of meeting numbers.
- Updating, reconciling and publishing the Organization’s global Calendar of Events (COE) as required.
DUTY 2/Mission 2
Assist the Protocol and Conference Administrator with:
- Coordinating interpretation and multilingual web-based conference system services.
- Supporting organizing departments and liaising with all relevant operational departments and external interpretation service providers to ensure interpretation services are delivered efficiently for Lyon based in-person events and all web-based events with interpretation requirements.
- Performing administrative tasks related to the recruitment of interpreters and operational facilitation for interpreters on and off-site for in-person and multilingual web-based events.
- Performing all administrative tasks related to the financial management of interpretation services and the multilingual web-based conference system (interpretation purchase requests, reconciliation of web-based multilingual conference system usage and liaison with Finance for charge back to the organizing departments, monitoring and managing account usage with the multilingual web-based conference system supplier, etc.)
- Ensuring direct live protocol facilitation of multilingual web-based events.
DUTY 3/Mission 3
Assist with:
- Coordinating bookings for funded accommodation and restaurant reservations for Lyon based events and VIP or other visits
- Providing support for the Boutique when mandated.
- Protocol tasks as required.
DUTY 4/Mission 4
- Provide other support and perform any other duties as required by the hierarchy.
QUALIFICATIONS, COMPETENCIES AND SKILLS/QUALIFICATIONS, COMPÉTENCES ET APTITUDES
Education and qualification required/FORMATION:
- At least two years’ University education in the area in which the duties are performed.
Experience required/EXPÉRIENCE:
- At least three years’ experience in the area in which the duties are performed. Five years’ experience in the area is required if the incumbent does not have the required level of education.
Languages/Langues:
- Professional fluency in English is required;
- Proficiency in French is required, at an intermediate level, at least;
- Proficiency in a third official language of the Organization (Spanish or Arabic) would an additional asset.
Abilities required/COMPéTENCES TECHNIQUES:
- Sound organizational skills, discretion, diplomacy, tact and rigour.
