Tests/interviews in connection to this selection procedure will take place approximately 6 weeks after the deadline for applications. Applicants are kindly requested to plan their availability during this period accordingly, in case they are short-listed.
Selected candidates will be expected to report for duty approximately two to three months after receiving an offer of employment at the latest.
This selection exercise will be used to generate a reserve list of suitable candidates that may be used to address Organization's similar staffing needs in the future.
POST DESCRIPTION
Under the supervision and guidance of the Head of the Language Support Unit, the incumbent pre-processes and post-processes the documents produced by the respective Language Departments, relating to the Organization's day-to-day activities and to the decisions to be taken by its governing bodies. The incumbent proofreads a wide range of documents. He/she provides support to the respective Language Departments.
PRINCIPAL DUTIES
Duty 1: Assistance to language departments
- Pre-edit documents (correct and improve the initial file in order to enable the translator to make full use of CAT tools). Perform electronic document comparison and some pre-referencing.
- Assist language staff in detecting and correcting errors in archived files that pose problems for CAT tools.
- Assist the language staff in preparing glossaries.
- Assist the language staff in document searches, whether in the General Secretariat’s physical or electronic archives or on the Internet.
Duty 2: Quality control
- Proofread documents produced by the respective Language Departments, checking corrections to grammar, spelling and punctuation.
- Check corrections made following proofreading.
- Proofread and correct original texts sent for translation by General Secretariat units.
- Proofread, compare with the originals, and format documents translated externally.
Duty 3: Document formatting
- Prepare the final versions of the documents produced by the respective Language Departments.
- Work principally in one of the official languages of the Organization but may be required to adapt to the workload of the unit and format documents in two or three of the Organization’s other languages, using advanced functions of several software applications. (Only Arabic-speaking language assistants may format documents in all four languages).
- Work on complex documents requiring excellent skills in creating tables, charts and graphics, and inserting images.
- Create and use templates to produce final versions of minutes of meetings or other documents.
- Prepare different documents for translators, including pre-processing, using computer-assisted translation software. Clean up CAT-processed translation files.
Duty 4: Archive management
Assist his/her colleagues in filing Language Services documents in accordance with the established rules, and in managing the electronic archives of the language departments.
Duty 5: Other tasks
- Advise and assist secretaries of the General Secretariat, at their request, on the use of templates and on the formatting of documents.
- Participate in the creation of style guides for drafting documents.
- Process urgent documents, as necessary, in the absence of his/her supervisor.
- Perform any other duties as required.
QUALIFICATIONS, COMPETENCIES, AND SKILLS
EDUCATION AND QUALIFICATION required:
- At least two years’ higher education in the area corresponding to incumbent’s duties, preferably language related;
- Practical knowledge of computer-assisted translation tools and support activities associated with translation.
Experience required:
- At least two years’ experience in a similar post;
- Proficiency and proven experience in using the advanced functions of Microsoft Office software. Experience of computer-assisted translation tools would be an asset;
- Solid experience in working with computer-based applications.
LANGUAGES:
- Excellent command of one of the Organization’s official languages as a mother tongue;
- Good command of English if not the mother tongue;
- Knowledge of other languages of the Organization would be an asset
SKILLS required:
- Thoroughness and accuracy;
- Formatting skills;
- Excellent Microsoft Office software skills: Word, Excel, PowerPoint, etc.;
- Organizational skills, methodical approach;
- Proficiency in information search techniques, notably on the Internet.
